Accounting in 5 minutes

Six words that unlock almost everything.

Learn these six ideas and most accounting reports will start to make sense. The numbers below fit together, so you can follow them from one card to the next.

The term

Income

Also called revenue or sales.

Plain wordsWhat customers pay you, or owe you, for what you sold.
You sell 20 catering boxes at RM 50.00 each. Income is RM 1,000.00.
The term

Expenses

The costs of running the business.

Plain wordsWhat you spend to earn that income.
Rent of RM 600.00 and ingredients of RM 250.00 make expenses of RM 850.00.
The term

Profit

Income minus expenses.

Plain wordsWhat is left over after the costs are paid.
RM 1,000.00 minus RM 850.00 leaves profit of RM 150.00.
The term

Assets

Things the business owns or is owed.

Plain wordsWhat you have: money in the bank, and money customers still owe you.
RM 12,000.00 in the bank plus RM 3,000.00 owed by customers is RM 15,000.00 of assets.
The term

Liabilities

What the business owes to others.

Plain wordsWhat you must pay: unpaid supplier bills and loans.
A supplier bill of RM 1,800.00 plus a loan balance of RM 1,200.00 is RM 3,000.00 of liabilities.
The term

Equity

What is left for the owner.

Plain wordsAssets minus liabilities. The owner's share of the business.
RM 15,000.00 of assets minus RM 3,000.00 of liabilities leaves equity of RM 12,000.00.
The one equation

Assets equal liabilities plus equity. Always.

Look back at the six examples. RM 15,000.00 of assets equals RM 3,000.00 of liabilities plus RM 12,000.00 of equity. That is the accounting equation, and every set of books is built on it. When you are ready for the full story, our guide on debit and credit walks through it step by step.

  • Assets are what you have
  • Liabilities and equity say who has a claim on it
  • Both sides always total the same amount
