People trust you with their money. Your records should show it.

Donations, event fees, grants and volunteer expenses. A treasurer carries all of it, usually after hours, and the committee and auditor still ask for proof.

Sound familiar?

What treasurers tell us.

Non-profits have their own kind of accountability. These are the worries we hear most.

"Volunteers hand me receipts weeks later, or not at all."

Spending without proof is the first thing an auditor questions.

"Some money is for one purpose only, and I must not mix it."

A building fund or a grant has to be spent for what it was given for.

"The committee wants a simple report, not a spreadsheet."

Members want to see income, spending and what is left, in words they use.

"Audit time is a scramble."

Papers, bank statements and a year of memory, all gathered the week before.

Receipts as proof

Scan every receipt the day it is spent.

Volunteers photograph a receipt. Faas reads the supplier, date and total and asks if it has been paid. The original photo stays attached to the entry, so the proof is there when the auditor asks.

  • Photo or PDF in, draft entry out
  • Original file kept with the entry
  • Unpaid bills wait in Bills to pay

Fees and pledges

Collect event fees and pledges with a pay link.

Send an invoice for a membership fee, an event place or a sponsorship pledge. Supporters open the pay link, without logging in, and pay by FPX, card or e-wallet. The record updates by itself. Faas is not a donor management system.

  • FPX, card or e-wallet from one page
  • The invoice marks itself paid
  • Reminders for unpaid fees and pledges

Committee reports

Report to the committee in plain words.

Reports show money in, money out and what is left, who owes you and what you owe. The report says profit. For a non-profit, read it as surplus: income less spending. Share the books with your accountant or auditor in one tap.

  • Money in, money out and what is left
  • Who owes you and who you owe
  • Share with your accountant or auditor

Easy for you, complete for your accountant

Easy for the volunteer treasurer. Complete for the auditor.

Treasurers change over the years. Faas keeps the books in plain words for whoever holds the role now, and keeps full double-entry records underneath for the auditor, so the story does not leave with the last treasurer.

  • Plain words, no debits and credits
  • Invite committee members as users
  • Every entry traced to a receipt or invoice

How Easy Mode works

A committee meeting where the treasurer presents figures on a laptop
A day in the life

A month as a treasurer with Faas.

The aim is a quiet audit and a committee that trusts the numbers.

1

After an event

Volunteers snap the receipts for food, hall hire and printing. Faas reads each one and files it with the photo attached.

2

Fees and pledges

Send invoices for event places and sponsorship pledges. Supporters pay through the pay link, and the record updates.

3

Check the bank

Upload the bank statement. Matching lines tick themselves. You tap Yes or No on the few that need a decision.

4

Committee meeting

Open Reports. Show income, spending and what is left in words everyone understands. Share the books with the auditor when needed.

Rules change.Confirm current rates and dates with the Royal Malaysian Customs Department, LHDN or your accountant. Faas explains ideas in plain words and does not give legal or tax advice.

Accounting in plain words

Three ideas that matter most for a non-profit.

The words your committee and auditor will use.

The term

Restricted funds

Money given for one purpose only.

Plain wordsMoney you must spend only on what it was given for, kept apart from general funds.
A building fund raises RM 10,000.00 and RM 2,500.00 is spent on a quotation deposit. RM 7,500.00 must stay in that fund. Faas has no dedicated fund module. Your accountant can set up separate accounts for each fund.
The term

Receipts and proof

Also called supporting documents.

Plain wordsThe paper or photo behind every ringgit spent.
A RM 340.00 printing bill with no receipt is hard to defend. A scanned receipt attached to the entry settles the question.
The term

Surplus

Income less spending.

Plain wordsWhat is left after spending. A non-profit does not share it out as profit.
A year's income is RM 18,000.00 and spending is RM 14,500.00. The surplus is RM 3,500.00, kept for the work of the group.

Questions from treasurers

Can Faas keep restricted funds apart?
Faas does not have a dedicated fund-accounting module. A practical approach is a separate bank account and separate income and spending accounts for each fund, set up by your accountant in Full Mode. Ask your accountant what your rules require.
Does Faas issue donation receipts?
Faas is not a donor management system. It records money in and keeps invoices and receipts for spending. If you need donor receipts, ask us what fits before you plan around it.
Does Faas meet what the Registrar of Societies or the Companies Commission asks for?
Faas helps you keep clear records and a ready Audit Pack, but legal reporting duties depend on your type of organisation and on rules that change. Confirm with your accountant or the relevant authority.
Can several volunteers use it?
Yes. You can invite users and choose what each person can do. Every posting and edit is recorded in the audit log, and auditors can be given read-only access.
Is there a discount for non-profits?
Pricing lives on the pricing page. Please check there or contact us.
