Compare/Switching to Faas

Moving your books is easier than it sounds.

Whether you are coming from another accounting app or from spreadsheets, you do not need to bring every old transaction. You need a clean starting point and a way to check it.

Start on a new month and keep your old records for reference.

Switching is mostly a decision about a start date.

Pick a clean day. Bring across what stands on that day. From then on, record everything in Faas. Your old history stays where it is, for reference.

What to bring across

The short list.

You do not need all your history. You need what is true on the day you start.

Customers and suppliers

Names and contact details, so invoices and bills have someone to go to.

Open invoices and bills

Anything still unpaid on the start date, so it can be paid and matched in Faas.

Bank balances

What each bank account holds on the start date, taken from the statement.

Items and prices

The things you sell, if you use them often, so invoices are quick to build.

Opening balances

The totals that stand on the start date, entered once, ideally with your accountant.

A few months of statements

Bank statements can be uploaded as PDF, CSV or image, so you can reconcile from your start date.

The steps

Four steps, in order.

1

Choose a start date

The first day of a month works well. Keep your old tool or sheet for everything before it.

2

Set up your business

Add your organisation details, your customers and suppliers, and invite your accountant if you have one. Add contacts by hand or import them from a CSV file.

3

Enter opening balances

Put in what the bank holds, what customers owe you, what you owe and what the owner put in. Your accountant can do this in Full Mode.

4

Run together, then switch

For a month, record in Faas and compare with your old records. When the figures agree, stop using the old tool.

Opening balances

The one-time setup that lets everything else start clean.

Opening balances are the numbers on the day you start. Once they are in, new invoices, bills and bank lines build on top of them. In Easy Mode this is a one-time setup, and your accountant can handle it in Full Mode.

  • Entered once, on your start date
  • Must balance, assets against what you owe and what the owner put in
  • Your accountant can check them before you go on

Plain words

Two terms you will meet while switching.

Neither is hard once you see it with numbers.

The term

Opening balance

What stands on your start date.

Plain wordsA snapshot of what the business owns and owes the day you begin.
Bank RM 12,000.00 + owed by customers RM 3,000.00 = RM 15,000.00. Owed to suppliers RM 2,000.00 + owner put in RM 13,000.00 = RM 15,000.00. Both sides agree.
The term

Cut-off date

The day you switch.

Plain wordsEverything before it stays in the old place. Everything after it goes into Faas.
You choose 1 November. An invoice dated 28 October stays in the old records, unless it is still unpaid, in which case you bring it across as open.
The term

Trial balance

A list of every account and its total.

Plain wordsA quick check that the books add up.
Debits RM 6,000.00 and credits RM 6,000.00 means the books balance.

What to check after you switch

Take an hour with your accountant and tick these off.

If you skip the check

  • The bank balance in Faas differs from the statement, and nobody notices
  • A customer is shown as owing money they already paid
  • Unpaid bills from the old system are forgotten
  • Opening numbers drift into the first report

After a short check

  • Bank balance in Faas equals the statement on the start date
  • Customer and supplier balances agree with the old lists
  • Open invoices and bills are all present
  • The trial balance is balanced before you carry on
Keep your old records

Do not delete anything yet.

Keep your old files and exports somewhere safe. They are your history, and you may need them for your accountant, an auditor or a question from an authority. Ask your accountant how long to keep them.

  • Export what your old tool lets you export
  • Save statements and key documents
  • Ask your accountant about how long to keep records

Questions about switching

Do I have to bring all my old transactions?
No. Most people start on a new month with opening balances and keep the old history for reference. Your accountant can advise what makes sense for you.
Can I bring over my customers and suppliers?
Yes. Save the list as a CSV file and bring it in with the Contacts import in Full Mode, or add them by hand. The switching guides below show what to export from Bukku, SQL Account, AutoCount or a spreadsheet.
What are opening balances?
The totals on your start date: what the bank holds, what customers owe you, what you owe and what the owner put in. They are entered once.
Can my accountant help?
Yes. Invite them and they can enter and check opening balances in Full Mode, on the same books you use.
How long should I run both systems?
A month is common. Record in Faas, compare against the old records, and stop using the old tool when they agree.
Can I upload old bank statements?
You can upload bank statements as PDF, CSV or image and reconcile from your start date.

Pick a start date and try it.

Set up with a few customers, enter your opening balances and see how it feels.
