How to fill it in

An invoice is a polite request for money. It only has to answer four questions: who is asking, who is paying, what for, and how much by when. Go through the template from top to bottom.

  1. Your business details. Put your logo (optional), registered business name, address, email and phone at the top. If you have a business registration number, add it.
  2. The invoice number. Give every invoice its own number in running order, such as INV-0001, INV-0002. Never reuse a number.
  3. Dates. The invoice date is the day you issue it. The due date is the last day the customer should pay. Choose a date you have agreed with them.
  4. Bill to. Write the customer's full company or personal name and their address, exactly as they would like it to appear.
  5. Line items. One row for each thing you sold. Say what it is in words the customer will recognise, then the quantity and the price for one.
  6. Totals. Add the amounts to get a subtotal, take off any discount, add tax only if you are tax registered, and write the total due.
  7. Payment terms. Say how much is due and when. A deposit and a balance is common for bigger jobs.
  8. Bank details. Give your bank, account name and account number so the customer can pay, and ask them to quote the invoice number.

Getting the numbers right

Each line amount is quantity multiplied by unit price. The subtotal is every line added together. Check that the totals match to the sen before you send.

Brand design package, 1 x RM 2,500.00RM 2,500.00
Social media templates, 5 x RM 120.00RM 600.00

SubtotalRM 3,450.00
Discount- RM 250.00
Total dueRM 3,200.00

Splitting into a deposit and a balance

If you want half upfront, take 50% of the total. 50% of RM 3,200.00 is RM 1,600.00 now and RM 1,600.00 later. The two parts must add back up to the total.

Tips for getting paid on time

  • Send the invoice the same day the work is done, while the customer is still happy.
  • Put the due date in plain sight and agree it before you start.
  • Offer more than one way to pay. The easier it is, the faster it happens.
  • Describe each line clearly so the customer does not need to ask what it is.
  • Keep a copy of every invoice in one place, in number order.
  • Send a friendly reminder a few days before the due date, not only after it.

Make it automatic with Faas.

Stop retyping the same layout. Faas fills in your details, works out the totals and the deposit split, and sends the invoice on WhatsApp or email.

  • Saved payment terms such as 50/50 or deposit and balance
  • Automatic reminders before and after the due date
  • A pay link so customers can pay straight from the invoice

Invoice template questions

Can I use this template for my business?
Yes. Copy the layout, replace the example details with your own, and print it or save it from your browser. Everything shown here is made up.
What must an invoice include?
At a minimum: who issued it, who it is for, a unique number, the date, what was sold, the amounts and how to pay. Some businesses must show extra details, so check with your accountant.
Do I have to charge tax?
Only if your business is required to be tax registered. The template has a tax line you can use or delete. Rules change, so confirm with the Royal Malaysian Customs Department, LHDN or your accountant.
What is a good payment term?
It depends on your customer and the size of the job. Many small businesses use 14 or 30 days, or a deposit and a balance for bigger work.
What is the difference between an invoice and a receipt?
An invoice asks for money. A receipt confirms that money has been received.
