How to fill it in
A receipt says one thing clearly: "we received your money". Issue it after the payment arrives, never before. Go through the template from top to bottom.
- Your business details. Logo, business name, address, email and phone, the same as on your invoice.
- The receipt number. Number receipts in running order, such as RCP-0001, separate from your invoice numbers.
- Date and method. Write the date the money arrived and how it was paid, for example bank transfer, FPX, card, e-wallet or cash.
- Payment reference. Add the transfer or transaction reference if there is one. It helps match the payment to your bank statement.
- Received from. The name of the person or company who paid.
- What it was for. Link the receipt to the invoice number, and say if it is a full payment or a part payment such as a deposit.
- Amount and balance. State the amount received. If the customer still owes money, show the balance left.
Getting the numbers right
For a part payment, show the invoice total, what has been paid so far, and what is left. These three numbers must agree.
| Invoice total | RM 3,200.00 |
| Paid so far (this receipt) | RM 1,600.00 |
| Balance still due | RM 1,600.00 |
Cash or bank transfer?
For cash, write the receipt on the spot and keep a copy. For a bank transfer, wait until the money shows in your account, then issue the receipt with the transfer reference.

Tips for clean receipts
- Issue the receipt only after the money has really arrived.
- Always quote the invoice number it settles.
- Show part payments and the balance clearly so the customer knows where they stand.
- Keep a copy of every receipt, in number order, with your bank records.
- Do not edit a receipt after issuing it. If something is wrong, issue a corrected one and note why.
- Collect receipts from suppliers too. They are the proof behind your costs.
Make it automatic with Faas.
When a customer pays through the pay link, Faas marks the invoice paid and records the payment. When they pay by transfer, it matches the bank line for you.
- Customers pay by FPX, card or e-wallet from one page
- The invoice updates the moment money lands
- Bank lines are matched automatically with a confidence score
